Redfield College is an independent Catholic boys’ school (Year 2 to Year 12) teaching the Catholic faith with a unique, personalised education program. Redfield College has a very exciting and rare opportunity for a suitably qualified and experienced Personal Assistant/EA to provide executive level support to the Headmaster and its School Executive.
Working 4 days a week (with the possibility of 5 days a week) across a 43-week year, the Headmaster’s Personal Assistant/EA plays a fundamental role in the organisation of the school, assisting the Headmaster in his day-to-day work whilst conducting a key office management function. Working autonomously and offering high-level confidential administrative, organisational and high-level secretarial support, the Personal Assistant represents the Headmaster and the School to internal and external stakeholders.
This opportunity will require an individual with an exceptional ability to multitask whilst adapting quickly to changing priorities. The Personal Assistant will be involved in varied senior administrative tasks including:
- Diary management, preparing and communicating school and parent correspondence, and managing phone and email enquiries for the Headmaster and the School Executive
- Effectively administering automated functions across various school-based systems (training provided)
- Office management duties including leading an administrative team and streamlining & implementing effective office-based workflows and procedures.
- Supporting the Headmaster and the School’s Corporate Services Group with activities related to the onboarding and offboarding of staff
- Management of invoices, purchase orders and external contractors
- Event management for school-based functions
- Parent & student-specific administrative tasks across Redfield’s Primary and Secondary Schools
- Other ad-hoc administrative duties as required
To be considered for this role, the successful incumbent will need to clearly demonstrate
- Experience working in senior Personal Assistant/Executive Assistant functions (within a school setting)
- Prior experience managing or supervising a small team of Administrators.
- A high level of discretion and trustworthiness: you will often be privy to confidential information
- Strong technical competence, with advanced skills in Microsoft Office Suite, Google Workspace and preferably, previous school-based systems experience
- A calm and professional manner with the ability to deal with people at all levels
- Exceptional written and verbal communication skills
Very strong attention to detail (your proof-reading skills will be highly valued) - Ability to manage conflicting priorities, take the initiative, think critically and be proactive
- A flexible and adaptable approach to work
