The Chaplains’ Administrative and Ministry Support Officer plays a vital role in enabling the mission and ministry of the School Chaplains by providing thoughtful, efficient, and discreet administrative and organisational support. This position is integral to the smooth running of the School’s spiritual life and broader pastoral, and service-learning programs.
Working in close partnership with the Chaplains, the role supports the delivery of Anglican ministry across the P–12 school context, fostering meaningful relationships within the School community and liaising with local Anglican parishes, clergy, and charitable organisations.
This position requires a high level of personal integrity, adaptability, and initiative, as well as an appreciation of the diverse nature of school life. The successful candidate will be well-organised, capable of managing multiple priorities in a dynamic environment, and able to engage warmly with students, staff, parents, parish representatives, and visiting clergy.
The Chaplains’ Administrative and Ministry Support Officer position is part time, 2 days per week during School term time.
The salary range is pro-rata $71,427-$73,506 per annum excluding superannuation..
Key Responsibilities
- Provide daily administrative assistance to the Chaplains, including diary management, documentation, and correspondence.
- Assist in the planning, setup, and resourcing of Chapel services, prayer gatherings, and liturgical events
- Coordinate rosters and schedules for student, staff, and clergy involvement in services.
- Support preparation of orders of service, multimedia resources, and physical spaces for worship.
- Liaise with internal departments (facilities, IT, catering) to ensure smooth delivery of events.
- Support communication and invitations for special events involving parents, clergy, alumni, or external guests.
- Act as a point of contact for local Anglican parishes, diocesan representatives, and clergy.
- Assist the Chaplains in coordinating service-learning opportunities for students, including liaison with local charities, not-for-profit organisations, and community groups.
- Maintain confidential and accurate records of student involvement where appropriate
- Work closely with the Executive Assistants to the Heads of Sub-Schools and other administrative staff to align school-wide schedules and support shared responsibilities.
- Maintain open, respectful communication with students, staff, families, and external guests who engage with the Chaplaincy team
- Respond graciously and professionally to regular interruptions and shifting priorities in a dynamic school environment.
- Demonstrate flexibility, good humour, and initiative while contributing positively to the life of a busy Anglican school.
The successful applicant will demonstrate the following:
Knowledge and Skills
- Strong administrative and organisational skills, with the ability to manage competing priorities and multiple tasks within a busy school environment.
- Excellent communication and interpersonal skills, both written and verbal, with the ability to interact confidently and respectfully with a broad range of people.
- Competence in Microsoft Office and other digital platforms relevant to administration, communication, and event coordination.
- High attention to detail and a proactive, solutions-focused approach to tasks and challenges.
- Ability to manage logistics for events and services, including bookings, catering, and venue preparation.
- Discretion, integrity, and sound judgement when handling confidential or sensitive matters.
Experience
- Prior experience in a school or similar educational setting is desirable
- Experience in administration, event planning, or supporting community-focused programs will be highly regarded
- Familiarity with the ethos, practices, and rhythms of the Anglican Church or another Christian tradition is desirable, and a willingness to engage respectfully with the School’s Anglican identity is essential
